Open the Cost Aggregation window by selecting the Show Cost Aggregation command from the right-click menu launched from the Activities pane. This window is used to calculate the average historical unit costs (and employee hours) according to a user-defined weighted average, and then apply those average unit costs to the system's Performance Guidelines. The window contains two panes: Weighted Average Costs by Activity and Cost Factors.

Weighted Average Costs by Activity Pane

The Weighted Average Costs by Activity pane is read-only. It shows all activities that have historical work order data for the years in the Cost Factor pane (where the cost factor is greater than 0). It also contains the calculated average employee hours from the historical work order data as well as the average unit cost (based upon historical work order data and the cost factors given in the Cost Factors pane).

When you right-click a record in this pane, the system displays a shortcut menu. This menu contains the common commands along with the following commands:

  • Refresh Costs: This command calculates the average historical unit costs (and employee hours) according to a user-defined weighted average, and then displays those results in the Weighted Average Costs by Activity pane.
  • Update Statewide Performance Guideline: This command applies the average historical unit costs (and employee hours) shown in the Weighted Average Costs by Activity pane to only those Performance Guidelines that are used agency-wide. (The guidelines that are inherited are not updated.)

Cost Factors Pane

The Cost Factors pane shows the costs factors for various years to be applied to the activities listed in the left pane. The system uses the entered cost factors to calculate average weighted unit costs (and employee hours) for every activity that has historic work order information during the selected year.
Each year you should update the cost factor using the following steps:

  1. In the Cost Factor pane, insert or edit a record for each year you want to contribute to the activity cost aggregation.
  2. In the Cost Factor column, enter a number to represent the weighted contribution to the cost factor calculation.
  3. Click the  icon.
  4. In the Weighted Average Costs by Activity pane, right-click and select Refresh Cost to update the average historical unit costs (and employee hours) for all activities with historic data.
  5. Click the  icon.
