The left pane of the Dashboards window shows a hierarchical structure that organizes the dashboards to which you have access. The principal divisions of this structure are: My Dashboards, Public Dashboards, and Shared Dashboards. These divisions are described more fully below:

  • My Dashboards: This folder contains all dashboards to which only you have access.
Note: Unlike Public and Shared dashboards, you can change the title of dashboards and folders in My Dashboards. To do this, double-click the name of the dashboard and type the new name.
  • Public Dashboards: This folder contains all dashboards that are shared amongst all users in your agency. You cannot modify dashboards listed here. To modify a dashboard for your own use, copy it to your My Dashboards folder by right-clicking the public dashboard, clicking Copy, right-clicking the My Dashboards folder, and then clicking Paste. You may also accomplish this by dragging the public dashboard to the My Dashboards folder.
  • Shared Dashboards: This folder contains all dashboards shared specifically with you from another user. The system inserts a subfolder in the Shared Dashboards folder for each user that shares a dashboard with you. The shared dashboard is then placed in this subfolder.
Note: You cannot modify the folder structure within the Shared Dashboards folder nor can you edit the name of a folder or dashboard.

Right-click Commands

When you right-click a folder or a dashboard name, the system displays a shortcut menu. This menu contains the common commands along with the following special commands:

  • Assign Dashboard to Security Profiles: This command displays a dialog box that lists all available security roles. You may select one or more security roles to restrict the dashboard to only users that have been assigned the selected role. Alternatively, clearing all check boxes allows all users to use the dashboard.
  • Copy: This command creates a copy of the selected dashboard and places it in buffer memory. You may then right-click the folder in which the copy of the dashboard is to be placed and click Paste from the shortcut menu to place the copied dashboard in the desired folder.
  • Cut: This command is only available for dashboards in your My Dashboards folder. It removes the selected dashboard from its current location and places it in buffer memory. You may then right-click the folder in which the dashboard is to be placed and click Paste from the shortcut menu to place the dashboard in the desired folder. This may also be accomplished by dragging the dashboard to the desired folder.
  • Delete: This command deletes the selected dashboard or folder from the My Dashboards hierarchy.

    Note: You cannot delete folders that contain dashboards nor can you delete dashboards or folders in the Public Dashboards or Shared Dashboards folders.
  • Insert Directory: This command is only available for the My Dashboards folder and its sub-folders. When available, this command inserts a new folder inside the selected folder. You may change the default name of the new folder by double-clicking the name and then typing the desired name.
  • Make Dashboard Private: This command is only available for a dashboard that you (that is, your User ID) made public. It removes the copy of the dashboard from the Public folder. (It may be initiated from either the Public folder or your My dashboards folder).
  • Make Dashboard Public: This command is available for dashboards in your My Dashboards folder that are not currently public. When you select this command the system copies the selected dashboard to the Public folder. It may then be accessed by anyone in your agency. The system also places a check mark in the Public check box in the dashboard's record in the right pane to indicate that the dashboard is a public dashboard.
  • Paste: This command places the dashboard currently in buffer memory in the selected folder.
  • Share Dashboard: This command displays the Dashboard Group Sharing dialog box. This dialog box functions in much the same way as that for sharing dashboards. The principal difference is that you do not select a Sharing Type to share dashboards; you just click the Share check box. See Share Report Window for more information.
