To view the Rental Rates window, follow the steps below:

  1. Click Planning in the top banner menu
  2. Click Rental Rates

The Rental Rates window provides average operating unit cost estimates for each equipment class based upon recorded historic usage (miles/hours), fuel cost, repair cost, and depreciation cost data. These unit cost estimates are either operating cost per mile traveled or operating cost per hour operated as set by the equipment class, and can be derived either as averages using data for a particular year or as weighted averages using data across several years. The bases for these average estimates are monthly summaries of historic usage and cost data. These summaries are calculated by month by running the Fill Equipment Expense Universe system job. To calculate Rental rates in this window until, you must first calculate at least one monthly summary using the Fill Equipment Expense Universe system job.

Note: This window only contains rental rates estimates. The official charged rental rates are retained in the Equipment Classification Codes window. There is no link between the rental rates in these two windows. Consequently, if you want to make a rental rate estimate official, you must manually enter that value into the Equipment Class Code window for the appropriate equipment class.

The Rental Rates window contains the following:

  • Fiscal Year: This field at the top of the window provides a drop-down list, from which you select which year's rental rate estimates are shown in the Rental Rate pane. The drop-down list also shows, for each year, the number of monthly summaries that have been calculated. These monthly summaries form the bases from which rental rate estimates are derived.
  • Rental Rates pane:
    When you right-click an equipment class code, the system displays a shortcut menu which contains the common commands along with the following special commands:
    • Copy from Equipment General Data: This command allows you to view and/or retain rental rate estimates based on monthly summaries for the year selected in the Fiscal Year field. This command displays a new window showing these estimates by equipment class code. Click the OK button to update the rental rates in the main window; otherwise, click Cancel to close the window without affecting rental rates in the Rental Rates window.
    • Make Weighted Average: This command allows you to view and/or retain rental rate estimates based on monthly summaries for many years, with averages calculated using all years and annual weight factors in the Annual Weight Factor pane. This command displays a new window showing these estimates by equipment class code. Click OK to update the rental rates in the main window or click Cancel to close the window without affecting rental rates.
