Equipment Transfer/Lease window is used to perform two functions:
- A "Transfer" is transferring an equipment assigned to your administrative unit to another administrative unit within your agency. Agency administrative units are defined in the Setup Owner window.
- A "Lease" is defined as assigning or leasing equipment owned by your administrative unit to an organization outside of your agency. The outside agencies are defined in the Setup Lease Owner window.
Top pane of the Transfer/Lease window show all Equipment assets own by your admin unit. Bottom Transfer/Lease pane shows transfer and/or lease history of the equipment asset selected in the top pane.
Equipment Transfer Process
- Select equipment to be transferred in the top pane.
- Right click and select command “Initiate Transfer” to start transfer process. This will create a transfer transaction in the bottom Transfer/Lease pane.
- Enter the administrative unit where the equipment is being transferred, assign start and end dates for the expected transfer duration.
- Save the transfer transaction and click Accepted check box.
This complete the transfer transaction and equipment ownership is transferred to another administrative unit. Transferred equipment will start showing up in the target administrative unit equipment inventory.
When equipment is ready to transfer again to some other administrative unit, same transfer process steps will be repeated. However, before starting new transaction first modify as needed the end date of current transfer transaction. The new transfer transaction start date should be after the current transfer end date.
Equipment Lease Process
- Select equipment to be Leased out in the top pane.
- Right click and select command “Initiate Lease” to start lease process. This will create a lease transaction in the bottom Transfer/Lease pane.
- Select in Lease Owner drop down the outside agency which is receiving the leased equipment, assign start and end dates for the expected lease duration.
- Save the lease transaction and click Accepted check box.
This completes the lease transaction and equipment is leased to an outside lease owner agency.
When equipment is ready to lease again to some other agency, same lease process steps will be repeated. However, before starting new transaction first modify as needed the end date of current lease transaction. The new lease transaction start date should be after the current transfer end date.
Equipment Lease Owner window is used to define and maintain a list of outside organizations that are allowed leasing or long-term rentals from your agency.
