The Forgotten Password feature adds a link on the log-on screen that displays one or more questions for a user to answer. Once the user correctly answers all displayed questions, the system sends an email to the address stored in the user's account with a new password. The user can then log on and should change their password. This feature can be activated by the project manager during initial configuration. Two tasks are required to activate the feature. First use the following steps to display the system parameters needed for this feature:

  1. Activate Design Mode.
  2. Open the System Parameters window.
  3. Right-click and select Change Control Properties. The Control Properties dialog box opens.
  4. Select the Data Window tab.
  5. In the lower Columns pane, right-click and select Insert. A new record is added to the pane.
  6. In the Column ID field, enter USE_SECURITY_QUESTIONS.
  7. Select the Editable check box in the column's record.
  8. In the lower Columns pane, right-click and select Insert. A second new record is added to the pane.
  9. In the Column ID field, enter SECURITY_QUESTIONS_NUM.
  10. Select the Editable check box in the column's record.
  11. Select OK. The dialog box closes and the two parameters for the Forgotten Password feature display in the System Parameters window.
  12. Disable Design mode.

Once the parameters appear in the System Parameters window, the project manager then does the following:

  1. Select the Use Security Questions? check box to enable the Forgotten Password feature.
  2. In the Number of Security Questions field, enter the number of questions to be displayed to the user. Enter zero in this field to ask no questions and then send an email with a new password to the user.
  3. Check the Mail Host and Mail Default From parameters to be sure they are correctly configured. If they are not correctly configured, emails cannot be sent to users.

Once the feature is enabled, the next time a user logs on, the system will display one or more fields for security questions. The user then selects questions from the drop-down list in each field and supplies an answer.

Note: If a user forgets the password and the answer to at least one of the security questions, the best course of action is to create a new user account for the user.
