At the end of each month, personnel enter the meter readings from all pieces of equipment and vehicles shown in this window. The meter readings can be in hours or miles. After recording all meter readings, the System Administrator runs the system job that moves the readings from this window to the individual inventory records for each vehicle and piece of equipment. Once the readings are stored in the individual records, they are used by the system to determine when PM activities are due. They can also be used for equipment usage reports and billing.
This window contains the following:
- A field to enter the month for which meter readings are to be entered. Select the month from the drop-down list opened by clicking the down arrow in the field.
- Class Codes Pane
- Status Pane
- Meter Readings Pane
Class Codes Pane
The Class Codes pane in the upper left shows a tree view of the equipment classification codes, which are created and maintained in the Equipment Class Codes window. Use this pane to select the classification codes of the equipment to view in the Inventory pane.
When this pane is displayed, it shows the selection(s) that you made the last time you used this tab. A check mark in a square indicates which codes are selected, while an empty square indicates those that can be selected.
To change what is selected, click the square beside the equipment name. Alternately, you can right-click the tree view to display the shortcut menu and then select one of the selection (or de-selection) commands. After changing what is selected (and then retrieving data and saving), the system will remember what you selected and will show the same selections the next time the pane is displayed.
Status Pane
The Status pane in the lower left corner of the window displays all available equipment statuses (which are defined in the Equipment Status window). Use this pane to select the status of the equipment to view in the Inventory pane.
When this pane is displayed, it shows the selection(s) that you made the last time you used this window. The selection is indicated by being highlighted in the table.
To select (or de-select) a status, click the desired row of the table. You can also select multiple statuses. If the rows showing the desired statuses are next to each other, click the first row and then SHIFT+click the last row of the group. If the rows are not adjacent, click the first row and then CTRL+click each additional row that you would like to select.
To de-select a row from a group of selected rows, CTRL+click the row you wish to de-select. To de-select all rows but one from a group of selected rows, click the one row that you wish to keep selected. After changing what is selected in this pane (and then retrieving data and saving), the system will remember what you selected and will show the same selections the next time the pane is displayed.
Meter Readings Pane
The Meter Reading pane lists all vehicles and equipment that match the criteria set in the Class Codes and Status panes. It provides a column (End Month Odometer) in which you enter the meter reading for the month selected in the field at the top of the window.
