The Issue In-House Project window contains four panes: Projects, Account Codes, Asset Types, and Activities.

In-house Projects Pane

At the top of the Issue In-house Project window is the In-house Projects pane. This pane lists all project templates for your administrative unit. It shows the name of the project, when it began, and when it finished (or will finish), if known. It also provides cost information for the project and the source of funding for the project. Finally, it provides links to open and completed work orders that are associated with the project. See View Project Work Orders for more information.

Notice the Status column. The status must be Active for the project to be available throughout the system.

When you right-click a project, a shortcut menu is displayed. This menu contains the common commands along with the following special commands:

  • Delete Children Projects: Once a project is copied from a parent administrative unit to children administrative units, this command can be used to delete one or more children projects. After selecting this command the application displays the administrative units with child projects. Select the desired administrative units by using Shift+Click (for a block) or Ctrl+Click (for multiple non-contiguous administrative units).

    Note: You can also remove a child project directly in the In-house Project window of the child administrative unit where it is shown. This command allows you to do deletions from the parent administrative unit, and is particularly useful when a project must be deleted from multiple child administrative units.
  • Edit Selection: This command allows you to specify what asset types and activities are associated with the selected in-house project. After selecting this command, the first of two dialog boxes will be displayed. These dialog boxes allow you to select what asset types and activities will be associated with this in-house project. See Create a Project Template for more information.

    Note: You can also use this command to remove asset types and activities from the lower panes.
  • Propagate Children Projects: Since projects are specific to a particular administrative unit, this command allows you to copy a project from a parent administrative unit to any of its children ("sub-administrative units") so these child administrative units can also use the project. When you select this command, the application displays a new window from which you select the administrative units to which the selected project will be copied. The only administrative units available for selection are the children of the administrative unit you selected when you logged on. Select the desired administrative units by using Shift+Click (for a block) or Ctrl+Click (for multiple non-contiguous administrative units).

    After selecting the desired child administrative units and clicking OK, the application copies the selected project (and the associated asset types/activities). Each copied project has the name [existing project name][blank space][administrative unit]. The copied projects are then available in the In-house Project windows of each child administrative unit (they are not shown in the parent administrative unit's In-house Project window).

  • Update Child Projects: This command copies the latest information for the selected project to the child administrative units that also use the project.

Account Codes Pane

The Account Codes pane contains the general ledger account codes that properly categorize the costs incurred in performing work.
Since account codes are instrumental in properly categorizing costs, it is vitally important that each work order be assigned the correct codes. By using a project template that specifies account codes, then each work order created from the project template will have the proper account codes associated with it. This ensures accuracy while also greatly easing data entry.

Note: It is not required that any or all account codes be specified. You can leave one or more of these fields blank. The result will be that when a user creates a work order using a project template without account codes, he or she will need to specify them when the work order is created.

 

Asset Types Pane

The Asset Types pane at the bottom, left of the window shows the asset types with which the project selected in the Projects pane is concerned. You cannot insert new asset types into this pane directly. Instead, you must right-click the project name in the In-house Projects pane and select Edit Selection. You can also use this command to remove asset types from this pane.

Activities Pane

The Activities pane at the bottom, right of the window shows the activities that will be performed for the displayed asset types for the project selected in the Projects pane. You cannot insert new activities into this pane directly. Instead, you must right-click the project name in the In-house Projects pane and select Edit Selection. You can also use this command to remove activities from this pane.
