The Work Orders pane lists all active work orders for your administrative unit. (Pending work orders are viewed from the "Issue Work Orders from..." menu.) This window shows such information as the start date and hour, end date and hour, and duration of the work order along with the costs incurred for the work order. In addition, you can use this window to make Day Cards for a work order.

Columns in the Work Orders Pane

The following columns are of particular importance in this pane:

  • FEMA Event: Some clients require the ability to track and report FEMA-related information. For these clients, the Work Orders pane includes a check box to indicate that the work order is FEMA-related. When this checkbox is selected, equipment usage is tracked for reporting to FEMA. The usage is recorded in the Equipment tab of the Daily Log window.
  • Plan Amount: This column shows the planned activity amount for the work order. A value must be entered in this column to save a new work order.
  • Project, Asset Type, and Activity: These columns cannot be edited. The information in these columns is required to create a work order. If you need to modify any of these columns, delete the work order and insert a new work order with the desired information. (All other columns can be edited, either directly or via a command from the shortcut menu found by right-clicking.)
  • Responsible Crew: If a crew is assigned to the work order, this column shows the name of the crew. The crews available for selection are configured in the Crews window.
  • Start Hour and End Hour: These columns show the hour of the workday when the activity starts or ends. Note that this is not the actual hour of the day. The actual time of day to which these correspond depends on your particular work situation. For example, a 0 in the Start Hour column might mean 7 am or 7:30 am (or some other time) depending on when your administrative unit starts work. Similarly, a 4 in the End Hour column means the activity ends at the end of the fourth hour of the workday, which might be 11:30 am or noon depending on when your workday begins.
  • WR#: This column shows the ID number of the work request that is associated with the work order.

Right-click Shortcut Menu Commands

When you right-click a work order, a shortcut menu is displayed. This menu contains the common commands along with the following special commands:

  • Approve All: If you have sufficient authority, this command is available. You use it to approve all Day Cards created for the selected work order. (Approval is noted by a check mark in the Approved column of the Day Cards pane in each tab.)
  • Assign Crew Members: If a crew is specified in the Responsible Crew column, this command is available. When available, it selects the individual crew members and equipment for the work order in the Labor and Equipment tabs. (This command is also available as a button above the Work Orders pane.)
  • Attach to WR: This command associates the selected work order with a work request. When you select this command, a dialog box is displayed so you can select the work request. After selecting the work request, the ID number for the work request is shown in the work order's WR# column.
  • Complete Remake Day Cards – This command deletes all existing, unapproved Day Cards and then creates new Day Cards for all dates for which the work order is scheduled regardless of the date range specified at the top of the window. If approved Day Cards exist, a warning message will be displayed.
  • Delete: This command is displayed when a work order does not have any approved  day cards. You can delete a work order and the unapproved day cards.  Delete is not available if there is an approved day card for the selected work order.
  • Disapprove All: If you have sufficient authority, this command is available. You use it to disapprove all Day Cards created for the selected work order.
  • Edit Dates: This command displays a new window, which you can use to modify the start date, end date, or duration of a work order.
  • Make Day Cards – This command creates all types of Day Cards (labor, equipment, material, and accomplishment) for the selected work order. The created Day Cards are shown in the Day Cards pane found on each tab. (For the accomplishment record, the quantity accomplished is the Plan Amount value from the Work Orders pane.) After selecting this command, the system displays a dialog box so you can enter the dates for the day cards. (This command is also available as a button above the Work Orders pane.)

    Note: If the system attempts to create a Day Card and an approved Day Card already exists, then an error message will be displayed. (If the existing Day Card is unapproved, the new Day Card replaces it.)
  • Copy Assignment: This command copies the labor, equipment, and material assignments from the selected work order to the clipboard.

  • Paste Assignment: After assignments are copied to the clipboard, this command is available. When available, it copies the labor, equipment, and material assignments from the clipboard to the selected work order (replacing any existing assignments). Note that the information on the clipboard remains on the clipboard after selecting this command. This allows you to paste assignment information into additional work orders.
  • Paste Assignment from Ideal Mix: This command displays the Ideal Mix dialog box. You can then select an ideal mix and click the OK button to copy the information from the dialog box to the selected work order.
  • Save Assignment as Ideal Mix: An "ideal mix" can be thought of as a resource template. It is a combination of labor, equipment, and material resources that together are best able to accomplish certain work activities.
  • When you select this command, the system displays the Ideal Mix dialog box. This dialog box contains panes for the resources along with a pane to identify the ideal mix and assign a duration and crew to it. Once the information is entered, clicking the OK button will save the ideal mix for future use.
  • Share with Admin Unit: This command allows you to specify one or more administrative units besides your own that can work on this work order. When you select this command, the system displays a dialog box so you can select the administrative units that can work on the work order.

    Note: The shared work order will only appear in the other administrative units' Daily Log window (by utilizing the Shared Work Orders command found on the right-click shortcut menu), not their Day Cards window.
  • Show Licensed Employees: This command displays the Licensed Employees dialog box, which contains those employees licensed to perform the work activity. (A work activity is associated with a certain license in the Activity License window in the System module; an employee is assigned a license in the Employees window in the Resources module.)
